Import a guest list from Excel or Google Sheets

SeatSpot imports a guest list from pasted spreadsheet rows. Select the rows in Google Sheets or Excel, copy and paste, confirm how the columns were matched and check the preview before anything is added.

How it works

  1. In Google Sheets or Excel, select the rows including the header and copy them. No file needs saving.
  2. Open the import screen and paste. Commas, tabs and semicolons are all understood.
  3. Match the columns. SeatSpot guesses from the header, and you can tap a row to switch it to another field or to Ignored.
  4. Check and import. The preview calls out problem rows, rare problems first.

Good to know

  • A whole name in one column works: the last word becomes the surname, and Smith, John is read surname first.
  • Importing replaces the list. Before it happens you are told what you would lose, in real numbers, and Undo is available straight afterwards.
  • A restore point is saved automatically before an import.
  • Table and seat columns are deliberately not importable, because seating is done on the floor plan where capacity and conflicts are visible.
  • It also reads notes, phone, dietary, side, gift and thank-you columns, and RSVP words such as maybe.
  • On the free plan what counts is the size of the new list against the 8-guest limit.

Common questions

Does importing add to my existing list?

No. An import loads a whole guest list, so a second import replaces the first. You are warned first, with numbers.

Can I undo an import?

Yes. Undo is available right after, and a restore point is saved before the import.

Why does the screen say it found only one column?

The separator was not recognised. Check how the columns were copied; the rows themselves are usually fine.
